Managing When You're Available to Coach

Learn how to manage when golfers can book with you using Recurring Hours, Open Time, and Blocked Times

How Your Availability Works

Your PGA Coach calendar gives you flexibility to manage when you're available for lessons, programs, and Intro Meetings.

There are three ways to manage your schedule:

  • Recurring Hours – The days and times you are typically available each week.

  • Open Time – Additional availability you want to offer on a specific date.

  • Blocked Times – Time you want to remove from your schedule due to vacations, appointments, events, or other conflicts.

Together, these tools help you keep a consistent schedule while making adjustments as needed.


Set Your Recurring Working Hours

Recurring Hours are the days and times you are generally available to coach each week.

For example, you may typically be available:

  • Monday through Thursday from 9:00 AM – 5:00 PM

  • Saturdays from 8:00 AM – 12:00 PM

  • Unavailable on Sundays

Updating Your Recurring Hours

Each day can have its own schedule and multiple available time blocks. To edit your recurring hours:

  1. Click pencil icon next to the day you'd like to update.

  2. Enter your available time range(s).

  3. Use the + icon to add additional time blocks.

  4. Save your changes.


Copy Hours to Other Days

If multiple days share the same schedule, use Apply to Other Days.

This allows you to quickly copy your recurring hours across multiple days of the week.

Note: Applying Open Hours to other days will overwrite any existing recurring hours on those days.


Add Open Time

Available now on PGA Coach web, with support coming soon to the PGA Coach mobile app

Open Time allows you to offer additional bookable hours on a specific date without changing your recurring schedule.

For example, you might:

  • Open up a few extra evening lesson slots.

  • Make yourself available on a day you normally don't work.

  • Add coaching hours during a holiday week.

  • Create additional opportunities to fill your schedule.

Open Time only applies to the date you select and does not affect your recurring hours.

Best Practice: Think of Open Time as a way to add availability when your schedule changes or when you'd like to make yourself available for more bookings.


Block Time When You're Unavailable

Blocked Times allow you to remove availability on specific dates and times.

This is useful for:

  • Vacations

  • Personal appointments

  • Tournaments

  • Facility closures

  • Travel

  • Any other one-time scheduling conflict

Blocked Times can be used to block a portion of a day or an entire day.

Creating Blocked Times in the PGA Coach Mobile App

  1. Open the PGA Coach Mobile App.

  2. Navigate to More > Settings > Calendar > Blocked Dates & Times.

  3. Tap the + icon in the upper-right corner.

  4. Enter your blocked time details.

  5. Tap Create.

Your availability will automatically be removed during the selected timeframe.


Recommended Approach

For the best experience, we recommend:

  1. Setting your Recurring Hours to reflect when you are usually available to coach.

  2. Using Open Time when you want to offer additional availability on specific dates.

  3. Using Blocked Times to remove availability when you're unavailable.

This approach keeps your calendar accurate, reduces the need for constant updates, and helps golfers find times that work for both of you.
