How do I use my work or personal calendar to block my availability in PGA Coach?

Sync external calendars like Google Calendar, Outlook and Apple iCal

To help you in operating your coaching schedule, we've created the ability to help your existing calendar solutions (eg. Google Calendar) work with PGA Coach. With this feature enabled, you'll decrease the chance of a double booking.

What does it mean to Sync your Calendar?

Let's get started by understanding what syncing your calendar means exactly.

When you sync your external calendar with PGA Coach, the events from that calendar will automatically block your availability in the PGA Coach Calendar.

Example: if you have a dentist appointment scheduled on your Google Calendar and you’ve enabled syncing, your PGA Coach calendar will block out that time from students being able to schedule with you.

Today, the PGA Coach platform can only sync with Google Calendar - but, you can use a Google Calendar as a conduit for Outlook and Apple iCal events. Follow the instructions below to find out how.

🗒️ NOTE: Some calendar services experience delays when syncing events to other calendars. Please take this into consideration when setting up your calendar sync.

Getting Started

Syncing your Google Calendar

We'll start by navigating to your PGA Calendar on the PGA Coach Platform.

  • Select Connect

  • Select the gmail account you want to link

  • Select Continue to provide Google with the proper permissions

  • You should now see Disconnect which indicates that your account has been properly synced. Under that, you’ll see all other calendars you may have imported into your Google Calendar and the blocked times associated with those calendars.

Adding Calendars to Google Calendar

Want to add calendars to your Google Calendar so that they appear in the sync list?

First, you’ll need the URL of the specific calendar you’re looking to sync. Here's how to find those -

Outlook.com Calendar

  • Calendar > Shared Calendars > Publish Calendar

  • Select the Calendar you’re wanting to sync from the drop down

  • Select the Permissions > Can view all details

  • Click Publish

  • You’ll see 2 URLs appear, select to copy the ICS URL

  • Go back to your Gmail account

  • Select the [+] next to Other Calendars on the sidebar, the From URL

  • Paste the ICS URL you have copied and select “Make the calendar publicly accessible”. Then Click Add Calendar

  • You should now see your outlook calendar appear on the left sidebar of your Google Calendar

    PRO TIP: Rename the calendars in Google so they're easier to identify.

iCal (Apple Calendar)

  • Open your iCal

  • Click the icon next to the calendar you’re wanting to sync

  • Select Public Calendar and click the icon again

  • You’ll see a URL present in the pop up

  • Copy that URL

  • Go back to your Gmail account

  • Select the [+] next to Other Calendars on the sidebar, the From URL

  • Paste the URL you have copied and select “Make the calendar publicly accessible”. Then Click Add Calendar

  • You should now see your iCal calendar appear on the left sidebar of your Google Calendar

    PRO TIP: Rename the calendars in Google so they're easier to identify.

Selecting Calendars to Sync

Let's head back to PGA Coach to select the calendars you want to sync.

  • Go back to your PGA Calendar on the PGA Coach Platform

  • You should now see the list of "other calendars" from Google as part of your sync list

  • Select the check mark next to the Calendar you're wanting to sync

  • Depending on the calendars you selected, you will see all times associated to this calendar shown as blocked below the list. These times are also no longer available when a student goes to book a session
